In this statement we explain what personal data of you that we process.
We handle personal data with care. We ensure that the personal data you provide is treated confidentially. We do this by checking from time to time that our services meet the appropriate requirements, both in terms of data security and compliance with data protection legislation, in particular the European General Data Protection Regulation (GDPR). We are the “controller” in the sense of the GDPR.


Personal data

Personal data’ means any information relating to the personal or material circumstances of an identified or identifiable natural person, also referred to as a ‘data subject’ within the meaning of the GDPR. This includes particulars such as your name, address, telephone number and email address. You are not obliged to disclose any personal data in order to use our website. In certain cases, we may need your name, address and other details so that we can provide you with the services you request. For example, when using contact forms.

Processing of personal data

The personal data that we collect through our website or by physical means will only be used for the purposes for which you provide it to us. We process these data for the purposes stated in this privacy statement. The vast majority of the personal data of you that we process is processed because it is necessary for us to be able to fulfil any agreement entered into with you. Also, we will process your personal data where this is necessary in our justified interest to keep you informed of our activities and/or to send you our newsletter. In addition, in some situations we are legally obliged to process and store certain personal data.

We process and use all (personal) data that you provide to us, for example when sending us an (email) message, when concluding an agreement with us or when filling in a (web) form on our website. This includes data such as Mr/Ms, first and last name, company name, (office and/or delivery) address, telephone number(s), email address, payment details, user name and other data, to the extent that they are requested and provided. While you decide which data you provide to us, some data is mandatory.

Special personal data

We have no intention of collecting any special personal data. Not in a physical sense, but also not via our website. This concerns data that are (or may be) sensitive, e.g., data about a person’s race, religion or health. We will only request and process special data if we need such in order to comply with statutory obligations or if you have given your express consent.

Newsletter

We offer a newsletter, with which we provide interested parties with news about our activities. Your email address will only be added to the list of subscribers with your explicit permission. Every newsletter sent by us contains a link to unsubscribe (opt-out) and a link with the possibility to change your data. If you have provided your personal data to receive the newsletter, this will be kept for as long as you wish to receive our newsletter. The newsletter subscribers file will not be shared with third parties. You can unsubscribe from the newsletter by sending an email to m.janssen@koster-wax-com.

Data storage

We do not store your personal data longer than necessary to achieve the purposes for which your data is collected. This means, for example, that we do not store your data longer than necessary for the provision of our services or products and/or the execution of an agreement concluded between us. When you unsubscribe from the newsletter, we will delete your personal data immediately. Of course you may always ask us to remove the personal data you have provided to us. We will comply with your request, unless this is contrary to a statutory retention period, technical or organisational requirements or other statutory obligations with which we must comply.

When we send emails to you, data will be stored to inform us whether you have received the email, whether you have opened it and which links you may have clicked on.

Provision to third parties

The (personal) data collected by us are necessary to achieve the purposes described above. We will only make your data available to third parties if this data is necessary for the execution of the aforementioned purposes. For example – only if applicable – delivery partners, repairers or suppliers. These “processors” within the meaning of the GDPR, act under our responsibility and may only use this data to provide a service on our behalf. We conclude a processing agreement with these third parties. Your personal data will not be passed on or sold by us to other organisations for commercial purposes. Your data will only be processed within the European Economic Area (EEA).

Security

We handle the processing of your personal data with the utmost care. We constantly take measures to protect your data against loss or any form of unlawful processing. Where necessary, we use encrypted communication and secure connections. In addition, we take the necessary measures with regard to access security, including by physical means. With all the measures we take, we strive for an appropriate level of security.

Right of inspection, rectification and erasure of personal data

You can receive information free of charge at any time about the data stored by us about you, its origin and recipient and the purpose of data processing. In addition, you have a statutory right to rectification, blocking and erasure of your personal data.
